Venue & Space
What is the capacity of the Olathe Conference Center?
The Grand Ballroom accommodates up to 800 guests for a seated reception, 1,200 for a cocktail-style event, and up to 1,400 in a theater-style arrangement. The ballroom can also be divided into six smaller rooms for breakout sessions, rehearsal dinners, or intimate gatherings.
Can we host both a ceremony and a reception at the same venue?
Yes. Many couples choose to host their full wedding weekend at the Olathe Conference Center, and corporate groups can manage multi-session conferences entirely on-site — no transportation needed.
Is there an outdoor event space?
Yes. The Reserve is a 21+ outdoor terrace lounge on the second floor of Embassy Suites Olathe, accommodating up to 120 guests. Available for private events May through October.
Catering & Bar
Do you offer on-site catering?
Yes. Our culinary team provides full in-house catering for weddings and corporate events, including plated dinners, buffet service, chef-attended stations, and custom bar packages. Menus are fully customizable to fit your event style and dietary needs.
Can we do a menu tasting?
Yes. Menu tastings are available for booked weddings.
Hotel & Accommodations
Is there a hotel connected to the venue?
Yes. Embassy Suites by Hilton Olathe is directly connected to the Olathe Conference Center, offering 200 spacious two-room suites, complimentary hot breakfast, and a nightly Manager’s Reception. Group room blocks are available for both weddings and corporate events.
Logistics & Planning
Is parking available?
Yes. Complimentary on-site parking is available for all guests, with more than 590 spaces at the venue.
What is included with room rental?
Tables, chairs, and black or white linens are included. Additional enhancements such as uplighting, dance floors, podiums, and specialty décor are available for an additional fee.
When do final guest counts need to be submitted?
Final guest counts are due at least 7 business days before your event.
How far in advance should we book?
We recommend booking 12–18 months in advance for weddings, particularly for popular spring and fall weekends. Corporate events and meetings can often be accommodated with shorter lead times depending on availability.
Pricing & Availability
How is pricing determined?
Pricing varies based on guest count, food and beverage selections, bar packages, and event duration. Your dedicated Sales Executive will provide a transparent, customized proposal based on your specific needs.
Is there a food and beverage minimum?
Yes. Events with food and beverage service are subject to a minimum requirement, which your Sales Executive will review during the planning process.
